What Zoho CRM does for you

The Zoho CRM skill lets one of your Botonom agents read your live Zoho CRM data and answer questions about it in plain chat. Instead of logging into Zoho, opening a module, and filtering by hand, you just ask: "How many open deals do we have?" or "Find the contact record for that customer who emailed yesterday," and the agent pulls the answer from your CRM.

It works across the standard Zoho modules (Leads, Contacts, Accounts, Deals) and any custom modules your team has built. Because it reads the same account you already use, it always reflects what is really in your CRM right now.

This is a read-only assistant today. It looks things up and reports back. It does not create, edit, or delete records in Zoho. See "Good to know" for what is and is not possible.

What it can do

Once connected and assigned to an agent, here is what the agent can do with your Zoho CRM:

  • See what is in your CRM. List your available modules, including the standard ones (Leads, Contacts, Accounts, Deals) and any custom modules your team created.
  • Pull up records. List records from any module with sorting and paging, for example your 20 most recently updated deals, or the newest leads first.
  • Search for a specific person, company, or deal. Find records by a keyword, by email address, by phone number, or by a precise filter (for example, all open leads in a particular city or status).
  • Open a single record in full. Look up one record and read its complete details.
  • Understand your custom fields. If you ask by a field label your team uses (like a custom lead score), the agent can match that label to the right field before it searches or filters, so your own naming works.

Everything above is grounded in what the skill actually exposes, so the agent will not promise CRM actions it cannot perform.

How to use it

1. Install it. Open the Skill Marketplace in Botonom, find Zoho CRM under Sales & CRM, and click Install. During the current phase every skill is free to install, no card required.

2. Assign it to an agent. Pick the agent that should be able to read your CRM, for example a Sales Assistant, an Operations Helper, or an Executive Secretary. Only agents you give this skill to can touch your Zoho data.

3. Connect your Zoho account. The first time, Botonom asks you to connect Zoho (see the next section).

4. Just ask. Talk to the agent in normal language:

User: How many open deals do we have right now, and what's the biggest one?
Agent: You have 14 open deals in the pipeline. The largest is "Acme Corp - Annual Renewal" at $48,000, currently in the Negotiation stage.

User: Find the contact who emailed from maria@northwind.com

Connecting your Zoho account

This skill uses a secure Connect & Install flow, not a pasted API key. When you assign it to an agent, Botonom shows a button to connect Zoho. You sign in to Zoho once and approve read access, and Botonom handles the connection from there.

A few things worth knowing:

  • You connect Zoho only once. The same connection is shared across all current and future Zoho skills, so when Zoho Books or Zoho Desk skills arrive, you will not have to reconnect.
  • It works with any Zoho region. The connection is data-center aware, so it works whether your account lives on the US, EU, India, or other Zoho regions.
  • The account owner should connect it. Connecting grants read access to your CRM, so it is best done by an owner or admin.
  • You can disconnect any time from your Botonom connection settings, which immediately cuts off access.
Your Zoho login and access token are stored securely and are never shown in chat or logs. The agent uses read-only Zoho permissions, so connecting it cannot change anything in your CRM.

Good to know (limits and security)

A few honest boundaries so you know what to expect:

  • Read-only today. The agent can look up and search, but it cannot create, update, or delete records in Zoho. Create and update actions are on the roadmap.
  • Zoho CRM only for now. It reads CRM data (Leads, Contacts, Accounts, Deals, custom modules). Other Zoho products such as Books and Desk are planned but not yet available through this skill.
  • Role-gated access. Reading CRM data is restricted to signed-in team members (staff, manager, admin, owner). It is not exposed to anonymous or public chat visitors, so a customer chatting with a public agent cannot pull your CRM records.
  • Your data stays in your workspace. The agent reads only what it needs to answer your question, and nothing is stored outside your Botonom workspace beyond the secure connection.
If the agent says it cannot read a module's custom fields, the Zoho connection may be missing the field-metadata permission. Ask the account owner to reconnect Zoho, which re-grants read access, then try again.
